Project description
Quotation requests arrived through email with requirements written in different formats and sometimes included PDF, spreadsheet, or image attachments. Sales employees manually interpreted every request, searched the CRM or product catalog, calculated quantities and pricing, prepared a quotation document, and contacted managers when special discounts or margins required approval.
I developed QuoteFlow as an n8n workflow connected to business email, CRM, product, pricing, and accounting systems. The workflow monitors a dedicated inbox, identifies quotation requests, extracts customer details and requested products or services, and processes relevant attachments. It retrieves customer-specific pricing and product information from the CRM, applies approved taxes, margins, discount rules, and validity periods, and generates a structured quotation. Quotations that meet standard rules can proceed directly to review, while exceptions are routed to the appropriate manager. After approval, the final PDF is emailed to the customer and saved against the CRM opportunity.
