TenderFlow – Automated Tender Tracking & Vendor Matching

Tender opportunities were published across multiple government, corporate, and procurement portals with different layouts and data formats. Staff had to visit every source, identify new listings, read long tender descriptions, copy important details into spreadsheets, decide which vendors might qualify, and prepare separate outreach emails. This process was slow, inconsistent, and increased the risk of missing relevant opportunities or submission deadlines.

I designed and developed TenderFlow as an automated tender intelligence and vendor-matching system using n8n and a Next.js administration dashboard. Scheduled workflows monitor registered tender portals, RSS feeds, APIs, and supported web pages. Each new listing is cleaned, deduplicated, and converted into a structured opportunity containing the tender title, buyer, category, location, estimated value, eligibility requirements, publication date, deadline, source link, and attached documents. An AI-assisted classification layer identifies the relevant business categories, required capabilities, keywords, region, and risk indicators. The matching engine then compares every tender with vendor profiles based on business type, services, categories, operating locations, certifications, preferred contract values, and eligibility rules. Qualified vendors receive a personalized email immediately or through a scheduled digest, while administrators can review, approve, reassign, suppress, or resend matches from the Next.js dashboard.
